Refund & Cancellation Policy

How refunds, cancellations, and billing disputes are handled for QbiTrack services.

Effective Date: June 12, 2026.

1. Introduction

This Refund & Cancellation Policy ("Policy") governs refunds, cancellations, subscription terminations, billing disputes, and related matters for services provided by QbiTrack, a service operated by Qbit Cloud IT ("QbiTrack," "we," "our," or "us").

By purchasing or using any QbiTrack service, you agree to this Policy in addition to our Terms of Service and Privacy Policy.

2. Subscription Services

QbiTrack provides subscription-based services that may include:

  • Meta Conversions API (Facebook CAPI) hosting
  • TikTok Events API hosting
  • Server-Side Google Tag Manager (sGTM) hosting
  • Event processing infrastructure
  • Tracking and analytics services
  • Managed server-side tracking solutions
  • Technical support services

Subscription fees are charged according to the selected plan and billing cycle.

3. Cancellation of Subscription

Customers may cancel their subscription at any time. Cancellation requests may be submitted through customer account settings (if available), email to support@qbitrack.com, or official support channels.

Cancellation will stop future subscription renewals but will not automatically generate a refund unless specifically permitted under this Policy.

Unless otherwise stated in a custom agreement, access to paid services will continue until the end of the current billing period.

4. Seven-Day Money-Back Guarantee for New Customers

QbiTrack offers a 7-Day Money-Back Guarantee for first-time customers purchasing a subscription directly from QbiTrack.

To qualify:

  • The refund request must be submitted within seven (7) calendar days of the initial purchase date.
  • The subscription must be the customer's first paid subscription with QbiTrack.
  • The account must be in good standing.
  • The request must be submitted to support@qbitrack.com.

If approved, the applicable subscription fee paid for the initial purchase will be refunded to the original payment method whenever reasonably possible.

5. Non-Refundable Services

The following products and services are generally non-refundable:

  • Subscription renewals (annual and monthly)
  • Setup services and technical consulting
  • Custom implementation and migration services
  • Managed tracking configuration services
  • Agency services and custom development work
  • Third-party service costs and domain registration costs
  • Cloud infrastructure expenses incurred on behalf of customers
  • Services provided under custom agreements unless otherwise specified

Once such services have been delivered, performed, provisioned, or initiated, no refund obligation shall apply except where required by applicable law.

6. Renewals and Recurring Billing

Subscription plans may renew automatically according to the selected billing cycle. Customers are responsible for cancelling subscriptions before the next renewal date if they do not wish to continue using the Services.

Renewal charges are generally non-refundable because infrastructure resources are reserved and allocated immediately upon renewal.

7. Failed Results and Performance Expectations

QbiTrack provides technical infrastructure and tracking services. Refunds will not be issued solely because:

  • Advertising performance did not meet expectations.
  • Conversion rates did not increase.
  • Return on ad spend (ROAS) did not improve.
  • Marketing campaigns were unsuccessful.
  • Tracking data differed from expectations.
  • Third-party platform reporting changed.
  • Meta, Facebook, TikTok, Google, or other platforms modified their systems or policies.

QbiTrack does not guarantee specific marketing, advertising, or business outcomes.

8. Third-Party Platform Issues

Refunds will generally not be granted due to issues caused by third-party services, including but not limited to:

  • Meta, Facebook, or TikTok account restrictions or suspensions
  • Advertising policy violations
  • API limitations or third-party outages
  • Browser privacy changes
  • Platform reporting changes
  • Changes to tracking technologies outside QbiTrack's control

9. Abuse of Refund Policy

We reserve the right to deny refund requests where we reasonably determine that fraudulent activity has occurred, services were intentionally abused, multiple refund requests have been submitted across accounts, false information was provided, or the request violates our Terms of Service.

Any attempt to exploit the refund process may result in suspension or permanent termination of services.

10. Chargebacks and Payment Disputes

Before initiating a chargeback or payment dispute, customers are encouraged to contact our support team so we may attempt to resolve the issue.

If a chargeback is initiated: services may be suspended during the investigation, access to customer accounts may be restricted, outstanding balances may become immediately due, and future purchases may be restricted.

We reserve all rights to contest fraudulent or invalid chargebacks.

11. Service Suspension and Refund Eligibility

No refund will be issued if services are suspended or terminated due to: violation of the Terms of Service, fraudulent activity, abuse of platform resources, illegal activities, security-related concerns, failure to comply with applicable laws, or non-payment.

12. Exceptional Circumstances

In limited situations, QbiTrack may provide partial or full refunds at its sole discretion. Examples may include: duplicate payments, billing errors caused by QbiTrack, accidental double charges, or technical provisioning failures directly caused by QbiTrack.

Any discretionary refund does not create an obligation to provide future refunds under similar circumstances.

13. Processing Time for Refunds

Approved refunds are typically initiated within fourteen (14) business days after approval. Actual receipt of funds depends on payment providers, banks, card issuers, and financial institutions.

QbiTrack is not responsible for delays caused by third-party payment systems.

14. Changes to This Policy

QbiTrack may update this Refund & Cancellation Policy from time to time. Updated versions will be posted on our website and become effective upon publication unless otherwise stated.

Continued use of our Services after such updates constitutes acceptance of the revised Policy.
